Relocate Messages in Odoo with Three Clicks

Information fragmentation is a significant challenge for project-based companies, undermining their fundamental operations. In an environment where quickly processing information and making it available to development teams is essential, this fragmentation threatens survival in a saturated market filled with competitors. However, this critical process is often hindered by issues that compromise its effectiveness: information either does not arrive or does not reach the technical team in time to be utilized for their solution proposals.

The effects of this issue are palpable, though often unrecognized by many teams: multiple rounds of requests for more information, endless meetings to clarify what is truly needed, or, in the worst-case scenario, the complete development cycle of a function that ultimately does not meet expectations.

Our Experience

When we started working with this platform over ten years ago, our team experienced firsthand the consequences of fragmentation. Our project managers had to navigate between Odoo's CRM module, where they received messages related to opportunities, and the project module, where they needed to communicate information about each request.

The task of processing requests and consolidating information is inherent to project coordinators. However, when dealing with documents containing technical specifications for the team to review, the project manager becomes an information router. This waste of time, routing messages back and forth, began to silently affect our productivity, causing delays in analysis and decision-making.

This transfer of information introduced an additional burden: manually copying and pasting those messages into the task module for the team to review. Often, it was also necessary to save attachments to incorporate them into the specific task where they were needed.

To alleviate this burden, we decided to implement a solution that allows messages to be copied between objects in Odoo. With this tool, project managers no longer need to leave the opportunity view to relocate messages as needed. Three Steps to Channel a Message Between Odoo Objects

With the Useful Message App, you can copy a message to the needed task in just three simple steps:

  1. Select the Message: Access the opportunity where the desired message is located and search the history for the message you wish to relocate..

  2. Select the Destination Object: In the Copy Messages window, choose the task model and then the specific project task where you want to place the message. 

  3. Confirm the Action: Click to confirm the action.

With the message in the right place, project members gain firsthand access to relevant information in the specific task they are working on. 

With precise information for each task, action tracking and communication management in projects are significantly lightened. We have managed to reduce the effort dedicated to transferring messages and the communication time between stakeholders and the project team. However, novice project managers needed to learn how to use this tool correctly as they initially transferred messages to the wrong tasks.

To manage the gradual assimilation of these functions, we created a special permission that enables this feature only when training managers on the Copy and Move Messages function, allowing us to control when we enable this feature for each team member.

Our accumulated experience has shown us that implementing effective messaging tools is just the beginning of a journey toward efficiency. Reusing messages to create new tasks is an exciting opportunity that can revolutionize our collaboration.
