In our journey toward optimizing business operations, we observed that managing technical infrastructure often becomes a complex corporate challenge. To address this, we transformed our own Software Asset Management (SAM) through a strategy rooted in three pillars: operational organization, financial proactivity, and the right technical tools.

Below, we share the exact roadmap we designed to break down our digital infrastructure step by step, successfully turning license chaos into a streamlined process and discovering a major development opportunity along the way.

1. We Implemented a Centralized Tracking System

The first step in our strategy was to completely eliminate scattered and manual spreadsheets. We developed a single source of truth within our ERP environment that allowed us to monitor all active software licenses, vendor contracts, and versions in real time. This centralization guaranteed that our organization remained compliant, protected against unexpected vendor audits, and fully aligned with international standards.

2. We Established a Digital Preventive Maintenance Calendar

We identified that the software lifecycle is deeply intertwined with personnel management. For this reason, we connected our IT administration with the Human Resources module to automate two critical stages:

  • Onboarding: We ensured that every new hire receives swift, secure, and pre-configured access to the exact software tools required to be productive from day one.
  • Offboarding: We automated the workflow so that the moment an employee departure is logged, access rights and digital licenses are instantly revoked, reclaiming high-value assets back into the reserve pool and immediately stopping financial leaks.

5. We Developed a Specialized Product: From Internal Need to Market Opportunity

While configuring our internal software tracking within standard Odoo features, we realized the native ERP setup lacked specific fields to manage the intangible nature of digital assets—such as product key custody or concurrent seat usage.

This operational challenge inspired us to build a specialized solution: the xopgi_sam module. Developing this dedicated software asset management application not only resolved our internal inefficiencies but also allowed us to introduce a mature product to the market, meeting a booming demand among global organizations looking for advanced digital governance.
